Create a client invoice

🧠Context

Caladeo allows you to create and issue customer invoices based on an accepted quote, in order to clearly bill all amounts related to a travel project (deposit, balance, supplements, credit notes, etc.), using the client information and validated services.

🎯 Goal

Create and issue a customer invoice from an accepted quote, based on the client’s information and the services to be invoiced.

🧭 Where can you find this feature?

Invoices are created from an accepted quote, in the Financial tab.

To create an invoice, the opportunity must contain at least one quote with the status Accepted, and the client information must be correctly completed.

🛠️ Step by step

Follow these steps to create a customer invoice in Caladeo:

  1. Open the opportunity and access the quote with the status Accepted.
  2. Go to the Financial tab of the quote.
  3. In the Sales section, click Create a sale.
  4. Fill in the sale information:
    • Sale name (e.g. Booking deposit, Checked baggage supplement, Trip balance, etc.)
    • Check value: estimated amount of the sale
  5. Save the sale.
  6. Check the Customer details section: the information is automatically filled in from the customer record, but you can edit it if necessary.
  7. Enter the services to be invoiced:
    • Description
    • Quantity
    • Unit price
  8. Save your changes.

👉 Preview the invoice
Once all information has been completed and verified, click the PDF tab (top right of the screen) to preview the draft invoice before issuing it.

👉 Issue the invoice
After checking the invoice content and layout, you can issue it by choosing the invoice type: Pro forma invoice, Deposit invoice, Balance invoice, or Credit note. Once validated, the invoice can be downloaded at any time from the PDF tab.

Frequently asked questions

Can I create several invoices for the same quote?

Yes. You can create multiple invoices for the same quote (deposit, balance, credit note, etc.).

Can I modify an invoice after it has been issued?

Once an invoice is issued, it can no longer be modified. In case of an error, it is recommended to issue a credit note.

  • Always verify customer information before issuing an invoice.
  • Use clear and explicit sale names to simplify accounting follow-up.
  • An invoice can only be created if the quote has the status Accepted.
