Create a travel quote

Context

A travel Quote corresponds to the personalized proposal made to a client as part of their travel project. It brings together all the project elements (itinerary, dates, participants, services and budget) and allows you to generate a clear and detailed Proposal.

Objective

Create a Quote from an opportunity, customize it according to the client’s needs and generate a Proposal ready to be sent.

Where to find this feature?

Creating a Quote is done directly from an opportunity, by clicking on Add a Quote.

Create a Quote from the opportunity

1. Open the relevant opportunity.
2. Click on Add a Quote.
3. Choose one of the three creation methods:
   • Create a Quote from scratch
   • Create a Quote by duplicating a trip (itinerary template)
   • Create a Quote by duplicating an existing Quote
4. If you create a Quote from a trip or a Quote, select the one that best matches the client’s project.
5. Click the Attach selected Quotes button.

👉 The Quote is then created and attached to the opportunity.

Build and adjust the itinerary

1. Build, modify and verify the trip itinerary:
   • flights
   • transportation
   • accommodations
   • program
2. Adjust the Steps and products if necessary to precisely match the client’s project.
3. Add one or more discounts if applicable.
4. Verify that the insurance offered matches the travel project.
5. Check the payment schedule (payment plan).

👉 The automatic budgeting of the Quote is calculated instantly. You can find the calculation details in the Financial Details tab of the Quote.

Generate the Proposal

1. Click on the Proposal Generation tab.
2. Enter the information needed to customize the Quote:
   • Accommodation type (e.g. hotel, guesthouse, lodge, etc.)
   • Transport type (e.g. flight, train, coach, private transport, etc.)
   • Meal plan type (e.g. breakfast included, half board, full board, etc.)
   • Customizable paragraphs
     • Add or modify specific texts that will appear in the Quote
     • These paragraphs allow you to adapt your commercial approach or add additional information
3. Choose the Quote print mode:
   • PDF
   • Online Quote
4. Generate the Quote.

👉 The Quote is then ready to be viewed, downloaded or sent to the client, depending on the mode chosen.

What happens next in Caladeo

The Quote can be updated at any time as long as it has not been accepted. Once the Quote is accepted by the client, it can move to Accepted status, allowing for subsequent invoicing and financial tracking.

Frequently asked questions

Can I create multiple Quotes for the same opportunity?

Yes. An opportunity can contain multiple Quotes in order to propose different variants to the client. However, only one Quote can be accepted.

Can I modify a Quote after the proposal generation?

Yes. As long as the Quote has not been accepted, it can be modified. A new proposal can then be generated.
