Create a travel quote

A travel quote is the personalized proposition made to a client as part of their travel project. It brings together all elements of the project (itinerary, dates, participants, services and budget) and allows you to generate a clear and detailed proposal.

Create a travel quote from an opportunity, customize it according to the client’s needs, and generate a proposal ready to be sent.

Travel quotes are created directly from an opportunity, by clicking Add a quote.
Create a quote from an opportunity
- Open the relevant opportunity.
- Click Add a quote.
- Choose one of the three creation methods:
- Create a quote from scratch
- Create a quote from an existing trip (itinerary template)
- Create a quote from an existing quote
- If you create a new quote from an existing trip or quote, select the one that best matches the client’s project.
- Click Attach selected quotes.
👉 The quote is created and linked to the opportunity.
Build and adjust the itinerary
- Build, edit and review the travel itinerary:
- flights
- transportqtion
- accomodation
- programme
- Adjust the steps and products if necessary to match the client’s project precisely.
- Add one or more discounts if applicable.
- Check that the proposed insurances match the travel project.
- Review the payment plan.
👉 The quote’s automatic budget is calculated instantly. You can view the calculation details in the Financial details tab of the quote.
Generate the proposal
- Click on the Proposal generation tab.
- Fill in the information required to customize the proposal:
- Accommodation type (e.g. hotel, guesthouse, lodge, etc.)
- Transport type (e.g. flight, train, coach, private transport, etc.)
- Meal plan (e.g. breakfast included, half board, full board, etc.)
- Customizable paragraphs
- Add or edit specific texts that will appear in the proposal
- These paragraphs allow you to adapt the sales message or add additional information
- Choose the proposal format:
- Online proposal
- Generate the proposal.
👉 The proposal is now ready to be viewed, downloaded, or sent to the client, depending on the selected format.
👉 What happens next in Caladeo
The quote can be updated at any time as long as it has not been accepted. Once the client accepts the proposal, the quote can be moved to the Accepted status, enabling invoicing and financial tracking.
❓Frequently asked questions
Can I create several quotes for the same opportunity?
Yes. An opportunity can contain multiple quotes in order to propose different options to the client. However, only one quote can be accepted.
Can I modify a quote after generating the proposal?
Yes. As long as the quote is not accepted, it can be modified and a new proposal can be generated.

- Reusing an existing trip or quote saves time on similar projects.
- Always double-check dates and the number of participants before sending a quote.
- Even after automatic budgeting, you can manually adjust the budget if needed.
