Configure insurances

Insurances allow you to offer your clients additional coverage when booking their trip (cancellation insurance, comprehensive insurance, assistance, etc.).

They can be directly integrated into travel quotes so they are automatically budgeted and clearly presented to the client. Accurate insurance configuration ensures reliable pricing, a clear understanding of the available options, and simplified insurance sales management.

🎯 Goal

Create and configure reusable insurances in order to easily include them in travel quotes and automate their budgeting.

🧭 Where can you find this feature?

To create, edit, or delete insurances, go to the Settings menu, then open the Insurances tab.

If the Settings menu does not appear, it means you do not have the required permissions to manage your Caladeo workspace settings. In this case, contact a team administrator to adjust your permissions or make the changes for you.

🛠️ Step by step

Follow these steps to configure the insurances offered by your travel agency:

  1. Open the Settings menu from the main navigation.
  2. Go to the Insurances tab.
  3. Click Add insurance to create a new one, or select an existing insurance to edit it.
  4. Enter the insurance details:
    • Name: insurance name (e.g. Cancellation Insurance, Comprehensive Insurance, Assistance Insurance)
    • Insurance type: percentage or fixed amount
    • Insurance value
    • Default insurance: indicate whether the insurance should be automatically added to all new quotes
    • Insurance description: this description will be automatically added to every quote that includes this insurance
  5. Save the insurance.

When creating a quote, insurances marked as default are automatically added. The client can then choose the insurance that best suits their needs or decide not to subscribe to any insurance.

Insurance amounts are automatically calculated based on the defined rules. Insurances can be added, removed, or modified directly within the quote to adapt to each client’s specific needs.
