Customize my sales pipeline

The pipeline represents the different stages of the sales follow-up for your opportunities, from the first client contact to the end of the trip or the abandonment of the project.
Customizing the pipeline allows you to adapt these stages to your organization and sales process. Each pipeline stage corresponds to a status, which is used to track opportunity progress and, if needed, trigger automations (automatic tasks, financial indicators, etc.).

Customize the pipeline by creating and configuring statuses to accurately reflect your sales process and improve opportunity tracking and sales forecasting.
🧭 Where can you find this feature?
To customize your pipeline, go to the Settings menu, then to the Statuses section.
If the Settings menu does not appear, it means you do not have the required permissions to manage your Caladeo workspace settings. In this case, contact a team administrator to adjust your permissions.
🛠️ Step by step
Follow these steps to add or edit a status in the pipeline:
- Open the Settings menu from the main navigation.
- Go to the Statuses section.
- Click New status or select an existing status to edit it.
- Fill in the status information:
- Name: status name displayed in the pipeline (e.g. New project, Proposal sent, Trip confirmed)
- Active / Inactive: indicates whether the status applies to active or inactive opportunities
- Color: color used in the pipeline view to quickly identify the status
- Priority: defines the order of statuses in the pipeline
- Success probability: percentage estimating the likelihood of converting the opportunity (e.g. 10%, 50%, 90%). This value is used by the financial dashboard to calculate sales forecasts (expected revenue, expected margin, etc.)
- Save the status.
💡 Tip: Avoid priorities like 1, 2, 3… Use values such as 10, 20, 30 instead, so you can easily insert new statuses between existing ones later.

The created or updated statuses immediately appear in the opportunity pipeline view.
When an opportunity changes status, its position in the pipeline is updated, the financial dashboard indicators are recalculated based on the success probability, and any automatic tasks linked to the status are triggered.

Can I edit an existing status?
Yes. You can modify the name, color, priority, or success probability of a status at any time. Changes apply immediately to the related opportunities.
Can I create as many statuses as I want?
Yes. You can create as many statuses as needed to reflect your sales process. However, it is recommended to keep the number of statuses limited to maintain a clear and readable pipeline.
