Manage products
🧠Context
Products represent the pricing elements that make up your steps and, consequently, your travel offers. These may include, for example, a restaurant dinner, a 4-hour guide service, a double room in a hotel, a city tax, a flight, or booking fees for activities.
Each product is linked to a supplier and configured with a specific calculation method (per participant, per child, per adult, fixed price, etc.). Prices can also be defined by period.
Products form the foundation of automatic offer budgeting. Once created and linked to steps, they allow offers to be budgeted automatically, saving a significant amount of time when creating new proposals for your clients.
🎯 Goal
Create and configure products (accommodation, flights, transfers, activities, meals, guides, etc.) so they can be linked to steps and enable automatic budgeting of offers based on the number of participants and travel dates.
🧭 Where can you find this feature?
To create, edit, or delete products, go to the Products tab, available in the Catalog section of the menu.
If the Products tab does not appear, it means you do not have the required permissions to manage products. In this case, contact a team member with administrator rights so they can adjust your permissions.
🛠️ Step by step
Follow these steps to create or edit a product:
- Open the Products tab in the Catalog section of the menu.
- Click New product or select an existing product.
- Fill in or edit the product information:
- Supplier: who provides the product
- Destination
- Activity (if applicable)
- Internal name: name displayed in Caladeo and used in searches
- Public name: name displayed on client-facing offers
- Product type: mainly used for filters
- Quantity type: determines how the product total is calculated based on the number of adults, children, etc.
- Comment: internal information useful when creating offers
- Save your changes.
Once the product has been created, you must add pricing periods to define the product’s prices over different time ranges.
- Click Add pricing period.
- Fill in the period details:
- Name
- Date range
- Purchase price
- Sales price
- Save the pricing period.
💡 You can create as many pricing periods as needed for the same product.
⚠️ Good to know
- A product can only be linked to a single supplier. If the same product is provided by multiple suppliers, it is recommended to create several similar products.
- The Comment field allows you to add clear internal notes (e.g. museum opening hours). This information is only visible in Caladeo and never appears on client offers.
- Selecting the correct quantity type is essential to avoid errors in automatic offer budgeting.
