Suppliers represent the providers that allow you to build your travel quotes: hotels, airlines, guides, transport companies, restaurants, local agencies, etc.

A supplier can be linked to one or more products (accommodation, activities, transport, etc.), which are then used in steps and travel quotes.

🎯 Goal

Create, edit, and delete suppliers in order to centralize supplier information and link them to the products and services they provide.

🧭 Where can you find this feature?

To create, edit, or delete suppliers, go to the Suppliers tab, accessible from the main menu.

If the Suppliers tab does not appear, it means you do not have the required permissions to manage suppliers. In this case, contact an administrator in your team to adjust your permissions.

🛠️ Step by step

Follow these steps to create or edit a supplier in Caladeo:

  1. Open the Suppliers tab from the main menu.
  2. Click New supplier or select an existing supplier to edit it.
  3. Enter the supplier information:
    • Name: supplier name
    • Supplier type
    • General information
    • Website
    • Phone number
    • Internal note: internal supplier evaluation, visible only to your teams
  4. Save the supplier.

Once created, the supplier can be linked to one or more products. These products can then be used in steps and travel quotes.

You can also add contacts directly to the supplier record (manager, accounting contact, booking manager, etc.) in order to centralize all useful information in one place.

Can I link a supplier to multiple products?

Yes. A single supplier can be linked to as many products as needed. It is common to have dozens or even hundreds of products associated with the same supplier.

Can I add contacts to supplier records?

Yes. You can add multiple contacts to a supplier record to centralize all interlocutors (management, accounting, operations, etc.), making teamwork easier.

⚠️ Good to know

  • A supplier is automatically linked to one or more destinations based on the products associated with it.
  • A product can only be linked to one supplier.
  • Avoid creating duplicate suppliers (e.g. the same hotel with different spellings).
  • Use the internal note to share useful information with your teams (service quality, points of attention, client feedback).
